Overview
This document will cover how to generate and view statements in Savance Enterprise. Statements are an easy way for you to create a list of all unpaid invoices, credits from returns, payments, etc. This can be generated for a single customer, a select list of customers, or for all customers in the system.
Generating Statements
Accounts Receivable Option
In order to generate a statement, you will need to go to Accounting > Accounting Manager > Statements. The Statements icon can be found in the Accounts Receivable section.
This will bring up the statement generation screen.
You can choose to generate statements with four options:
-
All Customers
-
All Jobs
-
All Customers & Jobs
-
Customers by Name
Customers By Name
If you choose to generate statements for customers by name, you will need to input the customer name. Type in part of a customer name and hit enter. This field is treated as a “begins with” search. For example, if you enter the word “test”, it will return all customers that begin with the word “test”. The results of the search will be displayed in the top window below.
You can select one or multiple customers from the search results box. Simply place a checkmark next to the customers you would like to generate statements for, and the name will be transferred to the selected customer’s box down below. Likewise, unchecking the name will transfer it back to the top. When you are ready to proceed, hit the Next button.
Parameters
On the next screen, you have the option to set the Statement Date, which is set to the current date by default. Next, you can choose the scope of the statement. Your options are the following:
-
Date Range From XX/XX/XXXX
-
All Open Transactions
-
All Open Transactions Since The Last Statement Date
Furthermore, you can choose to exclude statements from a customer meeting one or a combination of the following criteria:
-

Statements Summary
When you hit the Next button, the actual statement generation process begins. This can take some time if you happen to be generating statements for all customers. Once completed, you will be brought to the Statements Summary screen. It will summarize which customers that statements were generated for, along with the total balance due and other information. You can select either Queue To Print or Print Directly. Hit the Finish button to confirm your selection. The invoices will now either print or queue to print.
